The challenge
They wanted to roll out Microsoft Copilot safely across the business.
What we did
We ran a readiness assessment and a pilot across legal, HR and IT, with governance, security and training built in.
We assessed whether Microsoft 365 Copilot could be rolled out safely, then proved it across three departments before scaling.
Why it mattered
A ports operator handles commercially sensitive contracts and operational data, so switching on an AI assistant that can read everything a user can read is not a small decision. They needed to know where Copilot would genuinely help, and to be confident it would not surface information staff should not see.
What we did
- Ran a readiness assessment. Governance, security posture and licensing reviewed before anything was switched on.
- Found the use cases with real value. Contract review automation in Legal, policy drafting in HR, and incident reporting automation in IT.
- Configured Copilot per department. Sources connected appropriately for each team rather than one blanket setup.
- Wrote the operating procedures. User-specific guidance so pilot users knew what good use looked like.
- Ran training built on their own scenarios. Workshops and materials tailored to each department.
- Set permissions and admin roles. Including access to the Copilot usage dashboard so adoption could be tracked.
- Measured the impact. Adoption, feedback and productivity monitored through the pilot.
