Customer Spotlight
Automating a 2,500 contract rollout for an outside school hours care provider
An outside school hours care provider needed to issue thousands of staff contracts, a job that would take weeks by hand. We automated the whole process with Power Automate, SharePoint and DocuSign, so contracts were generated, sent and tracked without manual handling.
The outcome
More than 2,500 contracts issued without manual handling
Every contract generated and sent correctly
Staff freed from weeks of admin
A process that scales to the next rollout
Success Stories
What good looks like
Ports Operator: AI Scheduling Agent
Microsoft Copilot
Staff extracted shipment scheduling data from email attachments and websites manually, so reporting ran late and sources never quite lined up.
We built an AI agent that reads the attachments and websites itself, files the data and flags changes to stakeholders.
Outcomes
- Schedules gathered automatically
- One source of truth
- Changes flagged as they happen
City Council
Nintex + SharePoint
The property acquisition process was slow and complex, with delays and inaccuracies at each hand-off.
We mapped the process end to end, then automated it with Promapp, Nintex and SharePoint Online.
Outcomes
- Acquisitions move faster
- Fewer errors
- Progress visible in real time
Early Learning Peak Body
Power Pages
A new funding model required two-way data exchanges between every kindergarten, the governing body and Queensland Treasury, and there was no portal to handle it.
We built a portal in Power Pages as the one-stop shop for submissions, documents and live funding data.
Outcomes
- One portal for 38 kindergartens
- Funding visible in real time
- Secure, accurate exchanges
Regional Council
Power Platform
Power Platform and Microsoft 365 had grown across seven environments with little governance.
We reviewed the whole setup and supported the changes to tighten security and control.
Outcomes
- Governance across 7 environments
- 1,400 monthly runs under control
- 200+ app launches a month
Insurance Provider
SharePoint + Power Platform
An unsupported SharePoint 2010 setup was a security risk and held back HR and Payroll.
We moved this insurance provider to SharePoint Online and rebuilt the key forms and approvals in Power Platform.
Outcomes
- Payback in six months, not two years
- Sensitive HR data better protected
- One setup for staff worldwide
State Education Department
Identity + Automation
Assigning Microsoft licences at this state education department was a slow, manual job that struggled to keep up with growing staff numbers.
We automated licence assignment from HR data using Azure AD groups and PowerShell, starting with a proof of concept.
Outcomes
- Licences assigned automatically
- Lower admin overhead and cost
- Auditable, compliant process
Industry Ombudsman
Records365 + SharePoint
The client had no electronic records system, and the existing document platform could not co-author, control versions or search well across 93,000 documents.
We implemented Records365 over SharePoint Online and built a modern intranet alongside it.
Outcomes
- 93,000 documents under control
- Co-authoring at last
- A modern intranet
Chemical Manufacturer
Microsoft 365
Microsoft Teams and SharePoint Online had been enabled but the team was not using them, and there was no governance around either.
We reviewed the setup, designed a best practice approach and set a phased roadmap for adoption.
Outcomes
- 500+ orphan documents found
- Idle Teams cleaned up
- A clear path to adoption
Retirement Living Operator
Microsoft Fabric
Their reporting was manual and split across separate apps, each with its own licence.
We built one Microsoft Fabric platform, modelled the data and set up Power BI, with training to extend it.
Outcomes
- One platform, many sources
- Clean, reliable data
- Team trained to build on it
Ports Operator
Microsoft Copilot
They wanted to roll out Microsoft Copilot safely across the business.
We ran a readiness assessment and a pilot across legal, HR and IT, with governance, security and training built in.
Outcomes
- Copilot scaled with confidence
- Use cases proven across teams
- Governance and training in place
Common questions about business process automation
What is business process automation?
Business process automation uses software to run repetitive, rules-based work that people do by hand, such as approvals, data entry, onboarding and status updates. We automate the slow, manual steps so staff can focus on work that needs judgement. The result is fewer delays, fewer errors and clear visibility of what is happening.
Where should we start with automation?
With one slow, manual process that runs often and follows clear rules. We automate it end to end, so the value is real before you commit to more.
Do you map the process before automating it?
Yes, always. Automating a broken or inconsistent process just makes the mess faster. We map how the work actually moves, fix what is unclear, then automate. That is why process mapping is one of the offerings above.
Do we need Microsoft Power Platform?
Often it is the right fit, especially if you already run Microsoft 365, but not always. We choose the tool to suit the process and your wider setup.
How does automation connect to our existing systems?
We connect automation to the tools you already run, such as Microsoft 365, SharePoint, Dynamics 365 and many line-of-business apps, using their APIs and connectors. Replacing systems is rarely needed. The automation works on top of what is already there.
How do you measure the return on automation?
We agree a measure up front, such as hours saved, faster approvals or fewer errors, and take a baseline before we start. Because the first process is small and specific, the result is easy to see within weeks, which then supports the case for the next one.
Is our data safe when systems are connected?
Yes. Connecting systems is done with least-privilege access, encrypted connections and audit logs, so every automated step can be traced. Sensitive actions can require a person to approve them. We treat security as part of the design, not an afterthought.
Will automation replace our staff?
The aim is to take repetitive admin off people so they spend more time on work that needs judgement. We keep humans in charge of the decisions that matter.
