An AI matching agent for a community transport provider

A community transport provider needed a faster way to match volunteers with clients based on distance, interests and availability, which had been a slow manual job. We built a proof of concept AI agent in Copilot Studio using anonymised data, returning ranked matches with a clear reason for each, deployed safely inside their Microsoft 365 environment.

Common questions about AI agents

What is an AI agent?

An AI agent is software that completes a task from start to finish, not just answers a question. It reads information, makes a decision within set rules and takes an action, such as updating a record, drafting a reply or triaging a request, and hands back to a person when judgement is needed.

What is the difference between an AI agent and a chatbot?

A chatbot answers questions. An agent takes action: it reads information, updates systems, completes multi-step tasks and hands back to a person when judgement is needed.

What types of AI agents can you build?

We build sales support, customer service, process, knowledge, research and developer agents. Sales and service agents handle front-line requests, process agents run back-office work end to end, and knowledge and research agents find and summarise information from your own data. We start with one high-value task and expand from there.

What can an AI agent do for my business?

Common jobs include handling repetitive admin, triaging and routing requests, pulling research together, drafting and checking documents, and helping staff find answers in your own knowledge.

Can an AI agent work with our existing systems?

Yes. We connect agents to the tools you already run, such as Microsoft 365, Teams, SharePoint, Dynamics 365 and many line-of-business apps. Replacing systems is rarely needed. The agent works on top of what is already there, using your existing permissions.

How do you keep AI agents safe and under control?

Each agent is built with identity controls, least-privilege access, clear data rules, audit logs and human handoffs. You can review what it did and stop it at any point.

What happens if an AI agent gets something wrong?

Agents are built to hand off to a person for anything sensitive or uncertain, and every action is logged, so you can see what happened and correct it. High-stakes steps need human approval before they run. You stay in control, and nothing important happens without a person able to check it.

Which AI models do you use?

Whatever fits the job. We work across Microsoft, OpenAI, Anthropic, Perplexity and open-source, and choose based on quality, cost, data rules and where the work needs to run.

How long does it take to build an AI agent, and what does it cost?

A first, focused agent usually reaches production in a few weeks, because we scope it to one clear task. Most work starts with a fixed-scope pilot, so the first step has a known price and a clear deliverable. From there, more tasks are added once the first one is trusted.
