Reduce Manual Data Entry
Cut the re-keying and copy-paste.
We automate the re-keying so information is captured once, mistakes drop, and your team gets that time back for work that matters.
Your team is re-keying the same information all day
Information arrives as emails, PDFs, spreadsheets and web forms, and someone has to type it into your systems by hand. The same customer detail gets entered in two or three places. Figures are copied from one tool into another that will not talk to it. It is slow, repetitive work, and it is the part of the day people enjoy least.
The same data keyed into more than one system
Staff retype the same details into several systems by hand.
Details copied by hand from documents and emails
Information transcribed manually, so mistakes creep in.
Spreadsheets used to bridge tools that do not connect
Fragile spreadsheets hold together systems that should just talk.
What it costs you, beyond the hours
The time is the obvious cost, but it is not the worst one. Manual entry introduces small mistakes that take longer to find and fix than they did to make. When the same figure is entered differently in two places, leaders stop trusting the numbers and fall back on gut feel. Skilled people spend their day on work well below their pay grade. And the only way to handle more volume is to hire more people to do the same manual work.
Mistakes that are slow and expensive to track down
Small keying errors that take hours to find and fix later.
Reports leaders cannot fully trust
Decisions made on numbers that may not be right.
Skilled staff stuck on low-value admin
Capable people spend their day on data entry, not real work.
We capture the data once and keep people on the decisions
We start small and prove the value on one process before going wider. Here is the path we follow.
Find the re-keying
We map where the same information is entered more than once, and which documents and systems it moves between.
Capture once
We capture the data at the source and validate it, so it is entered a single time and reused everywhere it is needed.
Rules and exceptions
We set rules to handle the routine cases automatically, and route anything unclear to a person to check.
Pilot, then scale
We prove it on one process, measure what it saves, then extend the same approach to the next.
The result: information captured once, fewer mistakes, and your team back on the work that needs judgement.
Customer Spotlight
How we did this for a commercial property company
A commercial property company was managing large volumes of client and tenancy data. Staff were verifying addresses and updating records from many documents by hand. It was time consuming, error prone, and records were often out of date.
We built an AI-powered file upload agent inside their Microsoft Teams. Staff upload a PDF or Excel file straight into a Teams chat. The agent uses Copilot to pull out the structured details, the building, tenancy, floor and vacancy, then checks and maps them into the company CRM, asking a person whenever something is unclear.
CG TECH is a Microsoft Solutions Partner and an approved supplier on Australian Government, Queensland Government and Local Buy ICT panels, so this work is delivered with the security and governance that regulated and public sector clients expect.
The outcome
Less manual data entry and quicker turnaround
Details parsed and mapped correctly, with prompts when unclear
Staff manage it in Teams, using tools they already know
Handles large volumes and extends to new data types
Safe by design
AI is only useful if you can trust it. We build automation and agents you can stand behind in an internal review or in front of a regulator. We design for Australian data and privacy expectations, which matters most in government, health, education and financial services. Your data is never used to train public models.
Controls we build in
- Identity controls
- Least-privilege access
- Clear data-handling rules
- Audit logs
- Human handoffs

What good looks like
Early Learning Peak Body
Power Pages
A new funding model required two-way data exchanges between every kindergarten, the governing body and Queensland Treasury, and there was no portal to handle it.
We built a portal in Power Pages as the one-stop shop for submissions, documents and live funding data.
Outcomes
- One portal for 38 kindergartens
- Funding visible in real time
- Secure, accurate exchanges
State Education Department
Identity + Automation
Assigning Microsoft licences at this state education department was a slow, manual job that struggled to keep up with growing staff numbers.
We automated licence assignment from HR data using Azure AD groups and PowerShell, starting with a proof of concept.
Outcomes
- Licences assigned automatically
- Lower admin overhead and cost
- Auditable, compliant process
Insurance Provider
SharePoint + Power Platform
An unsupported SharePoint 2010 setup was a security risk and held back HR and Payroll.
We moved this insurance provider to SharePoint Online and rebuilt the key forms and approvals in Power Platform.
Outcomes
- Payback in six months, not two years
- Sensitive HR data better protected
- One setup for staff worldwide
Ports Operator: AI Scheduling Agent
Microsoft Copilot
Staff extracted shipment scheduling data from email attachments and websites manually, so reporting ran late and sources never quite lined up.
We built an AI agent that reads the attachments and websites itself, files the data and flags changes to stakeholders.
Outcomes
- Schedules gathered automatically
- One source of truth
- Changes flagged as they happen
Outside School Hours Care Provider: Voice AI Agent
Copilot Studio
Directors spent much of each day answering policy calls from centre managers, covering everything from incident reporting to child safety rules. Answers varied between people, and many frontline staff speak English as a second language.
We built a voice-enabled AI agent, grounded only in the client’s policies, that answers first so Directors do not have to.
Outcomes
- Directors freed from routine calls
- Consistent answers every time
- Inclusive for bilingual staff
City Council
Nintex + SharePoint
The property acquisition process was slow and complex, with delays and inaccuracies at each hand-off.
We mapped the process end to end, then automated it with Promapp, Nintex and SharePoint Online.
Outcomes
- Acquisitions move faster
- Fewer errors
- Progress visible in real time
Regional Council
Power Platform
Power Platform and Microsoft 365 had grown across seven environments with little governance.
We reviewed the whole setup and supported the changes to tighten security and control.
Outcomes
- Governance across 7 environments
- 1,400 monthly runs under control
- 200+ app launches a month
Outside School Hours Care Provider
Power Automate
A government wage rise meant issuing more than 2,500 staff contracts at once, and the manual process was too slow.
We automated the run with Power Automate, a Power App form and DocuSign.
Outcomes
- 2,500+ contracts issued
- Signed copies filed to SharePoint
- Fewer manual steps and errors
Industry Ombudsman
Records365 + SharePoint
The client had no electronic records system, and the existing document platform could not co-author, control versions or search well across 93,000 documents.
We implemented Records365 over SharePoint Online and built a modern intranet alongside it.
Outcomes
- 93,000 documents under control
- Co-authoring at last
- A modern intranet
Chemical Manufacturer
Microsoft 365
Microsoft Teams and SharePoint Online had been enabled but the team was not using them, and there was no governance around either.
We reviewed the setup, designed a best practice approach and set a phased roadmap for adoption.
Outcomes
- 500+ orphan documents found
- Idle Teams cleaned up
- A clear path to adoption
Common questions about reducing data entry
What does reducing manual data entry involve?
It means capturing information once and letting it flow to the places it needs to go, instead of people re-keying and copying between systems. Mistakes drop, and your team gets that time back for work that matters.
How quickly can we see results?
Often quickly. We target one manual process end to end, so you see real time saved before committing to more.
Is automated data entry accurate?
Done well, it is more accurate than manual re-keying, because data is captured once and checked, not typed again and again. We build in validation and human review where it matters.
Will this replace our staff?
The aim is to take repetitive admin off people so they spend more time on work that needs judgement. We keep humans in charge of the decisions that matter.
Where do we usually start?
With the task that is done most often, not the one that annoys people most. Frequency is where the time is, and it is also where the payback is easiest to see.
What happens when something does not match?
It goes to a person. Good automation is honest about what it is unsure of, so exceptions get looked at rather than quietly guessed.
Does this work with our older systems?
Often, yes. Where a system has no modern connection there are still reliable ways to get data in and out. We check that before we promise anything.
How do we know it is actually saving time?
Measure the before, in minutes per item and items per week, then measure it again after. If nobody wrote down the before, the saving becomes an argument instead of a number.
