Junior Adventures Group is a leading provider of outside school hours care, caring for around 90,000 children daily with more than 5,000 staff across Australia, New Zealand, the United Kingdom and Ireland.
The challenge
Incidents have to be logged and managed in line with duty of care across every branch. The legacy tool covered 10,000 children across 500 branches and could not stretch to the group's full footprint.
What we did
We rebuilt the app on Power Apps and SharePoint Online, automated the reporting and approvals with Power Automate, and designed it for staff who need it to work first time.

Why it mattered
Incidents in a childcare setting must be logged and managed in line with duty of care, in every branch, every time. The legacy tool covered 10,000 children across 500 branches, and the group had grown well past it. Underneath sat the harder problems: multiple disparate systems, manual data entry and inconsistent incident classification, which together make reporting unreliable exactly where reliability matters most.
What we did
- Started with workshops. Four key workshops mapping the current state and surfacing 48 pain points across the process.
- Prioritised with the compliance team. Solution ideation focused on what compliance actually needed, then played back to confirm priorities and quick wins.
- Built the app on Power Apps and SharePoint. A front end staff can use on desktop or mobile, with SharePoint holding the records.
- Added digital signatures and drawings. So an injury can be marked at the point of the incident.
- Automated the follow-through. Power Automate handling database updates and correspondence whenever a report is created or changed.
- Built one-click printable reports. Records merged into a template, rendered as PDF, stored and emailed as a share link.
- Added reporting. Power BI dashboards so incident data informs prevention rather than just recording what happened.
