Staff used an AI agent to find policies, procedures and forms, but answers were slow, wordy and inconsistent, and a culturally diverse workforce needed multilingual support.

We restructured the knowledge sources, rebuilt the prompts and grounding, added guided questions and escalation to a person, and enabled automatic language detection, published to Microsoft Teams.

What is an AI agent, in plain terms?

A chat assistant that answers questions using only the documents you give it. Staff ask in plain words and get a short answer with the source, instead of searching folders.

How do we stop it making things up?

The agent is restricted to your approved policies and procedures, shows where each answer came from, and hands the conversation to a person when it is not confident.

Our workforce speaks many languages. Can it help?

Yes. Agents can detect the language a staff member writes in and reply in it. We built exactly this for an Australian aged care provider.

Is resident data safe with an AI agent?

The agents we build run inside your Microsoft 365 environment under your security settings, and we design them so resident records stay out of the agent’s reach unless you decide otherwise.

Do we need Copilot licences for everyone?

Not necessarily. Licensing depends on the tools used, so we map it to the use case up front and tell you exactly what is needed before anything is built.

Where should we start?

With one high-traffic question set, like policies and procedures. Prove it there, then grow to other teams and tasks.

How long does it take to build one?

For a first agent grounded in an existing set of policies, weeks rather than months. The build is rarely the slow part. Agreeing which content it may use usually is.

What happens when a policy changes?

The agent reads from your approved content, so updating the source updates the answer. We agree who owns that content before it goes live, because an agent grounded in stale policy is worse than no agent.
