Aged care

A digital workplace built for aged care

We design SharePoint intranets and Microsoft 365 workplaces for aged care and retirement living providers. Policies, working files and news in one searchable home, so less of the day goes to hunting for documents and more of it goes to residents.

Why it matters

The care is human. The admin behind it does not have to be.

In aged care, the value walks in the door with your people. Every minute a nurse, carer or coordinator spends digging through shared drives for the current version of a policy is a minute taken from a resident.

A good digital workplace stays in the background. It puts the right document in front of the right person at the right moment, then gets out of the way, so your teams can keep their attention where it belongs.

  • Staff find the current policy in seconds, not minutes
  • New starters learn one simple system from day one
  • Head office and every site work from the same page

Examples of our work

What good looks like in aged care

Two real projects for a national retirement living operator, an Australian retirement living provider.

Retirement Living Operator

SharePoint design and migration

Working files sat in a costly cloud file share, and 19 departments each managed information their own way.

We ran discovery with every department, designed the information architecture, built department sites and moved the files across, with training to land the change.

Outcomes

  • One structure across 19 departments
  • Off the costly legacy file share
  • Files on any device, at any site

Retirement Living Operator

Communications Hub intranet

Staff needed one place for news, policies, templates and contacts, instead of asking around.

We built their Communications Hub on SharePoint Online: a policy library staff filter by business unit, key contacts drawn from the staff directory, and a feed for company news.

Outcomes

  • Policies and templates in one place
  • Contacts stay current automatically
  • A base ready for automation
Trust and governance

Safe by design

In aged care, resident information deserves the same care as residents. We build workplaces where access follows roles, sensitive records stay locked down, and nothing goes missing in a migration.

Controls we build in

  • Secure handling of resident data
  • Role-based access by site and team
  • Migration with nothing left behind
  • Full audit trail
  • Training so the change sticks
Common questions

Questions we hear most

What does a digital workplace for an aged care provider include?

A SharePoint and Microsoft 365 environment shaped around your teams: a policy and procedure hub, department sites for working files, a staff intranet for news and contacts, and search that finds the right document first time.

Our care staff are rarely at a desk. Will it work for them?

Yes. Everything runs on Microsoft 365, so staff can open policies, forms and news on a phone or tablet through Teams or a browser, at any site.

Can you move us off old file shares and servers?

Yes. We plan the migration first, agree what moves and what gets archived, then move files in stages so teams keep working. A national retirement living operator moved off a costly cloud file share this way.

How long does a build like this take?

It depends on how many departments you have and the state of your files. We run discovery first, then give you a staged plan with dates before any build starts.

Do you only work with providers in Brisbane?

No. We are based in Brisbane with on-the-ground resources in Sydney and Melbourne, and we deliver for providers across Australia remotely.

We already pay for Microsoft 365. Do we need more licences?

Often not. Much of what we build uses the Microsoft 365 licences you already own. Where something extra is needed, we say so up front and explain why.

What happens to our existing documents?

They move with you, but not all of them. We work out what is still current, what should be archived and what can go, because carrying a decade of duplicates into a new intranet recreates the problem you are trying to solve.

Who keeps it up to date after go-live?

Someone in your team, with the structure set up so it is a small job. We train them and leave the site simple enough that keeping it tidy does not need us.
