Files for every production sat on shared drives with no structure. We built a document environment shaped around how the company actually stages work.

Why it mattered

Production files, venue negotiations and planning documents were spread across network drives with no structure, accessibility or automation. Across multiple productions and venues running at once, that means people cannot find the current version, work gets duplicated, and sensitive commercial documents sit alongside everything else with no meaningful access control.

What we did

• Designed the information architecture first. Dedicated libraries for operatic seasons, musical productions, venue negotiations and manufacturing processes.
• Migrated off the shared drive. Files moved with metadata mapping and validation rather than dumped across.
• Automated production sites. Site provisioning and the movement of planning documents into active production sites.
• Applied role-based security. Access shaped around who needs what, particularly for commercial negotiations.
• Branded it to the company. Styling aligned to Opera Australia so it feels like theirs.
