Using SharePoint as a document management system
Usually a good fit. Sometimes not. Here is how to tell.
SharePoint Online is a document management system, and if you already pay for Microsoft 365 it is the sensible place to start looking. What decides whether it works is the setup, and whether your requirements are the kind SharePoint handles well. This page covers both, including the cases where we would tell you to look elsewhere.

Where SharePoint fits well
Everyday business records: contracts, policies, project files, client folders. Teams already working in Microsoft 365, content that needs version control, approvals and access by role. For most organisations this is the majority of what they file.

Where it falls short
Heavy regulatory records management, complicated retention schedules across millions of records, or an industry system carrying its own certification. SharePoint can be pushed towards that work, but you feel it. We would rather say so early than sell you a rebuild later.

What is a document management system?
It is a system that gives documents one home, with version history, permissions and a reliable way to find them again. SharePoint can do that job well for most businesses, and this page covers when it fits and when it does not.
Can you use SharePoint as a document management system?
Yes. SharePoint Online is a document management system, and for organisations already paying for Microsoft 365 it is the sensible place to start. The difference between storage and a document management system is entirely in the setup: libraries, content types, metadata, permissions and retention.
Is SharePoint a good document management system?
For everyday business records and teams already living in Microsoft 365, yes. For heavy regulatory records management with complex retention across millions of records, it is a stretch. The honest answer depends on which of those you are, and we work that out before recommending anything.
When would you tell us not to use SharePoint?
When you need certified industry records management, retention schedules SharePoint cannot express cleanly, or a workflow that a purpose-built system already handles out of the box. We would rather lose that piece of work than sell you something you outgrow in two years.
How do you set up document management in SharePoint?
We map how your teams file and search today, then design libraries, content types and metadata around it. Permissions go in by role, retention rules follow, then the content moves across. Training and a short governance guide finish it so it holds together.
Do we lose version history if we migrate in?
Not usually. We carry version history and permissions across where the source system supports it, using ShareGate. Where something genuinely cannot come with you, we tell you before the migration rather than after.
Is SharePoint cheaper than a dedicated system?
The licences are usually already paid for as part of Microsoft 365, so the cost sits in the design, migration and governance rather than the platform. Whether that is cheaper overall depends on how complex your requirements are, which is worth checking honestly rather than assuming.
Will it still be tidy in a year?
Only if someone owns it. That is why we leave naming rules, ownership and lifecycle written down, and train people to file the way the system expects. Without that, any document system drifts back to the old mess, SharePoint included.
