Teams and SharePoint had grown without much structure. We reviewed both environments against best practice, built a document management system on SharePoint Online, and set up automated site creation with PowerShell so every new site follows the same rules.

Common questions about document management

What is a document management system?

A document management system is where your business records live, with rules attached: version control so there is one current copy, permissions so the right people see the right things, and retention so documents are kept and disposed of consistently. The alternative is a shared drive and hope.

How is it different from just using a shared drive?

A shared drive stores files. A document management system also tracks versions, controls who sees what, applies retention, and makes documents findable by what they are rather than where somebody filed them. The difference shows up the day you need to find something quickly.

Which platform do you build on?

Usually SharePoint Online, because most Australian organisations already pay for it as part of Microsoft 365. We have written separately about <a href="/solutions/digital-workplace/sharepoint-document-management/">whether SharePoint is the right fit</a>, including when it is not.

Can we keep our existing folder structure?

Sometimes, but it is worth questioning. Deep folder trees are usually the reason nobody can find anything. We often keep the structure people recognise at the top level and use metadata underneath, so search does the work instead of memory.

What happens to version history when you migrate?

We carry version history and permissions across where the source system supports it. We use ShareGate for migrations. If something cannot come with you, we say so before the move rather than after it.

Do we need extra licences?

Usually not. A document management system built on Microsoft 365 runs on the licences most organisations already hold. If your situation does need an add-on, we tell you before any work starts.

How long does it take?

It depends on how much content you are moving and what condition it is in. We start with one area that matters, get it working, then roll out from there. Most teams see a usable improvement in weeks rather than months.

Will this work with Microsoft Copilot?

Yes, and it matters more than people expect. Copilot answers from the content a person is already allowed to see, so your structure and permissions decide whether Copilot is useful or risky. Tidy ground first, then Copilot.
