CRM Data Quality and Adoption
A CRM your team trusts and uses.
A CRM only works if the data is clean and the team uses it. We fix the data and make it easy to use so it earns its place.
Why do teams stop using the CRM?
When the data is messy or entry is painful, people work around it. The CRM then falls out of date and trust drops further.
Clean and de-duplicate CRM data
We remove duplicates and fix records so the CRM is trustworthy.
Simplify and automate data entry
Less manual entry, so the CRM is quick to keep current.
Make the CRM useful day to day
We shape it around how your team actually sells.
What a neglected CRM costs you
A CRM no one trusts is worse than no CRM at all. Sales and service work from spreadsheets and memory, so the full picture lives only in individual heads. Reports built on the data are wrong, so leaders cannot rely on them. The money spent on licences is wasted. And every month the data slips further, the harder and more expensive it is to bring back.
A full picture stuck in individual heads
Key customer knowledge lives with people, not the system.
Reports built on data no one trusts
Pipeline and forecasts based on records staff do not believe.
Licence spend with little return
You pay for a CRM the team quietly stops using.
We fix the data and make the CRM worth using
A CRM only works if the data is clean and the team chooses to use it. We fix the data, make entry easy, and help your people get value from it day to day.
Clean the data
We de-duplicate and tidy your CRM data, so the records are ones your team can trust again.
Simplify entry
We automate and simplify data entry, so keeping the CRM current takes less effort, not more.
Set clear access
We sort out security roles so each person sees what they need and can do their job without friction.
Build the habit
We upskill your team on how the CRM helps their own work, so they use it because it is useful.
The result: a CRM your team trusts and uses, earning its place rather than gathering dust.
Customer Spotlight
How we did this for a national accounting firm
This national accounting and advisory firm needed to get their Dynamics 365 CRM back on track and properly used. We remediated the platform, automated the work that was slowing people down, set clear security roles, and upskilled the team so they had the confidence to use it day to day.
The outcome
A CRM the team trusts again
Clear security roles for every user
Automation that made entry easier
Adoption that earns the licence spend
Safe by design
AI is only useful if you can trust it. We build automation and agents you can stand behind in an internal review or in front of a regulator. We design for Australian data and privacy expectations, which matters most in government, health, education and financial services. Your data is never used to train public models.
Controls we build in
- Identity controls
- Least-privilege access
- Clear data-handling rules
- Audit logs
- Human handoffs

What good looks like
Technology Consultancy
Dynamics 365
This fast-growing startup needed a secure workspace and a reliable way to manage sales.
We set up Dynamics 365 for the pipeline and SharePoint for documents, linked together.
Outcomes
- Sales pipeline in one place
- Documents linked to deals
- A secure base to grow
Insurance Provider
SharePoint + Power Platform
An unsupported SharePoint 2010 setup was a security risk and held back HR and Payroll.
We moved this insurance provider to SharePoint Online and rebuilt the key forms and approvals in Power Platform.
Outcomes
- Payback in six months, not two years
- Sensitive HR data better protected
- One setup for staff worldwide
Life Insurer
Power BI
The client needed clear reporting across agent performance, claims, sales and profitability, but manual work held it back.
We built a set of Power BI reports across the business.
Outcomes
- Reporting across the business
- Trends tracked over time
- Faster, better decisions
Industry Ombudsman
Records365 + SharePoint
The client had no electronic records system, and the existing document platform could not co-author, control versions or search well across 93,000 documents.
We implemented Records365 over SharePoint Online and built a modern intranet alongside it.
Outcomes
- 93,000 documents under control
- Co-authoring at last
- A modern intranet
City Council
Nintex + SharePoint
The property acquisition process was slow and complex, with delays and inaccuracies at each hand-off.
We mapped the process end to end, then automated it with Promapp, Nintex and SharePoint Online.
Outcomes
- Acquisitions move faster
- Fewer errors
- Progress visible in real time
Early Learning Peak Body
Power Pages
A new funding model required two-way data exchanges between every kindergarten, the governing body and Queensland Treasury, and there was no portal to handle it.
We built a portal in Power Pages as the one-stop shop for submissions, documents and live funding data.
Outcomes
- One portal for 38 kindergartens
- Funding visible in real time
- Secure, accurate exchanges
Chemical Manufacturer
Microsoft 365
Microsoft Teams and SharePoint Online had been enabled but the team was not using them, and there was no governance around either.
We reviewed the setup, designed a best practice approach and set a phased roadmap for adoption.
Outcomes
- 500+ orphan documents found
- Idle Teams cleaned up
- A clear path to adoption
Ports Operator: AI Scheduling Agent
Microsoft Copilot
Staff extracted shipment scheduling data from email attachments and websites manually, so reporting ran late and sources never quite lined up.
We built an AI agent that reads the attachments and websites itself, files the data and flags changes to stakeholders.
Outcomes
- Schedules gathered automatically
- One source of truth
- Changes flagged as they happen
Outside School Hours Care Provider: Voice AI Agent
Copilot Studio
Directors spent much of each day answering policy calls from centre managers, covering everything from incident reporting to child safety rules. Answers varied between people, and many frontline staff speak English as a second language.
We built a voice-enabled AI agent, grounded only in the client’s policies, that answers first so Directors do not have to.
Outcomes
- Directors freed from routine calls
- Consistent answers every time
- Inclusive for bilingual staff
Retirement Living Operator
Microsoft Fabric
Their reporting was manual and split across separate apps, each with its own licence.
We built one Microsoft Fabric platform, modelled the data and set up Power BI, with training to extend it.
Outcomes
- One platform, many sources
- Clean, reliable data
- Team trained to build on it
Common questions about CRM data and adoption
What is CRM adoption?
It is whether your team actually uses the CRM as the place the work happens, rather than keeping their real notes somewhere else. A CRM only works if the data is clean and the team uses it, and the two problems feed each other.
Why does our CRM data go stale?
Usually because updating it feels like admin with no payoff. We make the CRM fit how people sell and cut the manual work, so records stay current.
Can AI improve CRM adoption?
Yes, by removing the admin people dislike: drafting follow-ups, summarising accounts and flagging next steps, with the seller in control. Less admin means more use.
Do we have to use Dynamics 365?
It is a strong fit if you already run Microsoft, but we assess your setup first and recommend what suits your team and budget.
Which comes first, clean data or adoption?
They move together. People will not use a CRM they do not trust, and data does not stay clean unless people use it. We usually clean enough to make it credible, then make it easier to use than the alternative.
How do we get salespeople to keep it updated?
Make it faster than the workaround. Fewer required fields, sensible defaults, and updates that work from a phone. If updating the CRM costs more time than it saves, no policy will fix that.
What should we measure?
Whether the record matches reality, not how many fields are filled in. Completeness targets tend to produce complete records that are still wrong.
What do we do with years of old records?
Decide what still earns its place before you migrate it. Carrying every old record across is how a fresh start inherits the problem it was meant to solve.
