Automate Approval Workflows
Stop chasing sign-offs by hand.
Approvals often sit in inboxes and chat, slowing work down and leaving no clear record. We automate them so they move fast and stay tracked.
What goes wrong with manual approvals?
Requests get lost, people forget to respond and no one can see where things are. Work stalls and accountability slips.
Route requests to the right people
Requests go straight to the right approver, in the right order.
Send reminders and track status
Automatic reminders and a live view of where each request sits.
Keep a clear record for audit
Every step logged, so the trail is clear when someone asks.
What manual approvals cost you
Slow approvals hold up real work and real people. A new contractor cannot start, an order cannot be placed, a customer waits. Staff spend their time chasing and re-sending instead of doing the job. When an auditor asks who approved what and when, the answer takes days to piece together. And every delay quietly chips away at how the business is seen.
Work held up waiting on a sign-off
Jobs stall in inboxes while everyone waits on one approval.
Staff time lost to chasing approvals
People spend hours following up instead of doing the work.
No clear record for an audit
When an auditor asks who approved what, the trail is thin.
We make approvals move fast and stay tracked
Approvals should not live in inboxes and chat. We automate them so requests go to the right person, move quickly, and leave a clear record behind.
Map the approval
We map who needs to approve what, in which order, and where the current process gets stuck.
Route automatically
We send each request to the right person automatically, with the detail they need to decide.
Remind and track
We add reminders and a live view of status, so nothing is forgotten and everyone can see where it is.
Record for audit
We keep a clear, time-stamped record of every decision, so you can show how and when it was made.
The result: approvals that move in hours, not weeks, with a record you can stand behind.
Customer Spotlight
How we did this for an energy provider
An energy provider needed to onboard contractors quickly while meeting strict privacy and compliance rules. We built a Power Platform solution with automated approval workflows, made sure it handled personal data correctly, and supported the team through hypercare so it ran smoothly from day one.
The outcome
Contractor onboarding that moves in hours
Approvals routed to the right people
Privacy and compliance handled by design
A clear record for every decision
Safe by design
AI is only useful if you can trust it. We build automation and agents you can stand behind in an internal review or in front of a regulator. We design for Australian data and privacy expectations, which matters most in government, health, education and financial services. Your data is never used to train public models.
Controls we build in
- Identity controls
- Least-privilege access
- Clear data-handling rules
- Audit logs
- Human handoffs

What good looks like
City Council
Nintex + SharePoint
The property acquisition process was slow and complex, with delays and inaccuracies at each hand-off.
We mapped the process end to end, then automated it with Promapp, Nintex and SharePoint Online.
Outcomes
- Acquisitions move faster
- Fewer errors
- Progress visible in real time
Early Learning Peak Body
Power Pages
A new funding model required two-way data exchanges between every kindergarten, the governing body and Queensland Treasury, and there was no portal to handle it.
We built a portal in Power Pages as the one-stop shop for submissions, documents and live funding data.
Outcomes
- One portal for 38 kindergartens
- Funding visible in real time
- Secure, accurate exchanges
Insurance Provider
SharePoint + Power Platform
An unsupported SharePoint 2010 setup was a security risk and held back HR and Payroll.
We moved this insurance provider to SharePoint Online and rebuilt the key forms and approvals in Power Platform.
Outcomes
- Payback in six months, not two years
- Sensitive HR data better protected
- One setup for staff worldwide
Ports Operator: AI Scheduling Agent
Microsoft Copilot
Staff extracted shipment scheduling data from email attachments and websites manually, so reporting ran late and sources never quite lined up.
We built an AI agent that reads the attachments and websites itself, files the data and flags changes to stakeholders.
Outcomes
- Schedules gathered automatically
- One source of truth
- Changes flagged as they happen
Outside School Hours Care Provider: Voice AI Agent
Copilot Studio
Directors spent much of each day answering policy calls from centre managers, covering everything from incident reporting to child safety rules. Answers varied between people, and many frontline staff speak English as a second language.
We built a voice-enabled AI agent, grounded only in the client’s policies, that answers first so Directors do not have to.
Outcomes
- Directors freed from routine calls
- Consistent answers every time
- Inclusive for bilingual staff
Regional Council
Power Platform
Power Platform and Microsoft 365 had grown across seven environments with little governance.
We reviewed the whole setup and supported the changes to tighten security and control.
Outcomes
- Governance across 7 environments
- 1,400 monthly runs under control
- 200+ app launches a month
State Education Department
Identity + Automation
Assigning Microsoft licences at this state education department was a slow, manual job that struggled to keep up with growing staff numbers.
We automated licence assignment from HR data using Azure AD groups and PowerShell, starting with a proof of concept.
Outcomes
- Licences assigned automatically
- Lower admin overhead and cost
- Auditable, compliant process
Outside School Hours Care Provider
Power Automate
A government wage rise meant issuing more than 2,500 staff contracts at once, and the manual process was too slow.
We automated the run with Power Automate, a Power App form and DocuSign.
Outcomes
- 2,500+ contracts issued
- Signed copies filed to SharePoint
- Fewer manual steps and errors
Industry Ombudsman
Records365 + SharePoint
The client had no electronic records system, and the existing document platform could not co-author, control versions or search well across 93,000 documents.
We implemented Records365 over SharePoint Online and built a modern intranet alongside it.
Outcomes
- 93,000 documents under control
- Co-authoring at last
- A modern intranet
Chemical Manufacturer
Microsoft 365
Microsoft Teams and SharePoint Online had been enabled but the team was not using them, and there was no governance around either.
We reviewed the setup, designed a best practice approach and set a phased roadmap for adoption.
Outcomes
- 500+ orphan documents found
- Idle Teams cleaned up
- A clear path to adoption
Common questions about approval automation
What is an automated approval workflow?
It is a sign-off that moves itself. Instead of sitting in inboxes and chat, a request goes to the right approver, chases them if needed, records the decision and moves on. Approvals often slow work down and leave no clear record, and automating them fixes both.
What approvals can be automated?
Most multi-step sign-offs: invoices, purchase orders, leave, document approvals and onboarding steps. We automate the routing and reminders and keep people in charge of the decision.
Will managers still be in control?
Yes. Automation handles the chasing and routing. The person still approves, often with one tap, and overdue items escalate automatically.
How quickly can we see results?
Often quickly. We start with one approval process end to end, so you see time saved before committing to more.
What happens if the approver is away?
You decide that up front. Approvals can escalate after a set time, pass to a delegate, or go to a whole team so whoever is available can act.
Can approvals change depending on the amount or the type of request?
Yes, and usually they should. Rules based on value, department or risk mean small routine items move quickly while the ones that matter still get proper attention.
What do we need in place before we start?
A clear picture of who actually approves what today. Most of the work in these projects is agreeing the rules, not building them.
Is there a record of who approved what?
Yes. Every step is logged with who acted and when, which is usually a bigger improvement than the speed for anyone who has had to reconstruct a decision after the fact.
