Challenges

Staff Onboarding Automation

Get new starters set up and working from day one.

New starters often wait days for accounts, access and paperwork. We automate the run from offer to first day, so each step happens on its own and nothing gets missed.

The problem

Why does onboarding take so long?

Onboarding touches HR, IT, payroll and the hiring manager. When each step is manual and sits in an inbox, new starters wait and the business loses time.

Collect new starter details once

New starter details captured a single time, then reused everywhere.

Set up accounts and access on time

Accounts, access and equipment ready for day one.

Track every step to done

A clear view of every onboarding task through to complete.

The impact

What slow onboarding costs you

A slow start hurts more than it looks. New starters sit idle while they wait for access. Managers chase IT and HR instead of leading. Mistakes in pay and access create risk. And the first impression of the business takes a hit before day one is done.

People sit unproductive while accounts and access catch up.

Managers lose time following up across three teams.

Mistakes in pay or access that expose the business.

How we help

We automate the run from offer to first day

We map your onboarding the way it works today, then build it in the Microsoft tools you already pay for. Power Apps collects the details, Power Automate runs the steps, and a dashboard shows where every new starter sits.

01

Map the process

We map who does what today, from offer to first day, and find the steps that slow things down.

02

Collect details once

A simple form captures new starter details one time, so no one keys the same data twice.

03

Automate the steps

We automate accounts, access, contracts and tasks across HR, IT and payroll, with reminders built in.

04

Track to done

A live dashboard shows each new starter and each task, so nothing is missed and managers can see progress.

The result: new starters ready on day one, and a process that runs the same way every time.

Customer Spotlight

How we did this for an outside school hours care provider

A government wage rise meant an outside school hours care provider had to issue more than two and a half thousand staff contracts at once, and the manual process could not keep up. We automated the run with Power Automate, a Power App form and DocuSign, so contracts went out, came back signed and filed themselves.

The outcome

More than 2,500 contracts issued

Signed copies filed to SharePoint

Fewer manual steps and errors

A run that scales for the next intake

Trust and governance

Safe by design

AI is only useful if you can trust it. We build automation and agents you can stand behind in an internal review or in front of a regulator. We design for Australian data and privacy expectations, which matters most in government, health, education and financial services. Your data is never used to train public models.

Controls we build in

  • Identity controls
  • Least-privilege access
  • Clear data-handling rules
  • Audit logs
  • Human handoffs

Common questions about onboarding automation

What is staff onboarding automation?

It is a set of connected steps that handle a new starter from offer to first day. The system collects their details once, then sets up accounts, access, contracts and tasks on its own, so people do not have to chase each step by hand.

Which tools do you use to automate onboarding?

We build on the Microsoft tools most businesses already have. Power Apps collects the details, Power Automate runs the steps, SharePoint and Dataverse hold the data, and Power BI shows live progress. We can also connect your HR or payroll system.

Can it handle a large intake at once?

Yes. The same run works for one new starter or a few thousand. We built this for an outside school hours care provider when a wage rise meant issuing more than two and a half thousand contracts at once.

How long does it take to set up?

A first working version is usually ready in a few weeks. We start with the steps that cost you the most time, prove they work, then add the rest.

Is it safe and compliant?

Yes. We build with identity controls, least privilege access and audit logs, so you can show who was given what and when. Your data stays in your Microsoft environment.

What does a new starter actually see?

A clear set of steps rather than a pile of emails. Their accounts and access are ready, the paperwork waits in one place, and someone is told as each part is done.

Does it work for contractors and casuals too?

Yes, though the steps differ. We map each type separately, because a casual starting for one shift should not go through the same process as a permanent hire.

What happens when someone leaves?

The same process in reverse is worth building at the same time. Offboarding is where access tends to get left behind, and it is the half most businesses skip.
