Microsoft Copilot
Staff extracted shipment scheduling data from email attachments and websites manually, so reporting ran late and sources never quite lined up.

Copilot Studio
Directors spent much of each day answering policy calls from centre managers, covering everything from incident reporting to child safety rules. Answers varied between people, and many frontline staff speak English as a second language.

How is this different from a paper form?
A paper form is slow, easy to skip and often filled in late from memory. The app captures the detail on the spot, routes it for you, and keeps a complete, time stamped record.
Is it secure and compliant?
Yes. It runs in your Microsoft environment, with access controls and audit logs, so sensitive detail is protected and you can show who saw what and when.
How soon after an incident should it be logged?
As close to the moment as possible, because detail fades quickly. That is the main reason to move off paper. The report gets written while people still remember it.
Can we still capture an incident if someone is not on the app?
Yes. We keep a way for a supervisor to log on someone behalf, because the person involved is not always the right person to be filling in a form.
Who gets told, and when?
You set the rules. Typically the supervisor and safety team immediately, with anything serious escalating on its own so it does not depend on someone remembering.
